    Map Your Delivery Workflow Before Adding More Software

    When delivery feels unreliable, another tool may make the work more complicated rather than more consistent. Map how a customer request becomes a completed outcome first. Include the manual work, waiting and rework that do not appear in a software dashboard.

    Choose one workflow with a clear boundary

    Start with a recurring journey, such as an enquiry becoming a delivered service. State where the workflow begins and ends. Speak with the people doing the work, and use real examples with permission rather than relying on the process you think happens.

    Make hand-offs and exceptions visible

    • List the steps, owner and information required at each point.
    • Record what signals completion and who receives the next hand-off.
    • Note delays, missing information and repeat work.
    • Identify exceptions and how the team resolves them.
    • Avoid putting customer records or confidential data into an unapproved tool.

Automation suits repeatable rules; AI may help with some interpretation or drafting tasks but needs testing and human review where errors matter. Do not automate a process whose owner or outcome is still unclear.
